Print Accounting
Print accounting is the process of tracking network and local
print jobs and walk up copies. Many attributes can be tracked
including the total number of pages per device, pages per
user and pages per application (ie Microsoft Word). The tracked
information is compiled into reports that illustrate a company's
total output and who is generating it.
Cost Recovery
The ability to charge individual users, departments, or customers
for their usage of printers, copiers, and fax machines is
becoming more important. Companies have always known that
operating costs are highly influenced by the cost to move
documents throughout an organization. Recovering those costs
is possible by assigning a specific account code to every
print, copy, or outgoing fax. In the most basic sense, an
'account code' is made up of several pieces of data such as
a userid, department and cost of page printed. Each datapoint,
by itself, is useless. But when combined, the account code
becomes the basis for generating reports to use in cost recovery.
PrintLog Professional is a workstation based print tracking
application designed specifically for simple installation
in small organizations where server based products may be
too complex or even more commonly, in professional firms where
multiple data fields are necessary. For larger, more complex
implementations, Equitrac offers PAS (Print Accounting Server)
to provide print accounting and cost recovery functions.
Toshiba hardware can provide all printing needs, both color
and black/white, while PrintLog Professional provides tracking
of up to 24 different data points used for charge back or
print accounting. Toshiba products can also connect to Equitrac
key counter devices for tracking copies. Even Toshiba scanning
systems can co-exist with Equitrac software and hardware.
The diagram above shows the variety of information
related to a print job that can be tracked for chargeback
and asset management purposes.
